6 Questions to Ask When Renting a Tent

Planning any event is challenging because there’s so much to consider and so much you can’t control, like the weather. So you’ve made a wise decision to rent a tent for your outdoor event. Tents protect your guests and offer many decorating opportunities. Before you place your order, ask yourself these six questions:

1. How many guests can you expect?

Review your guest list and count the responses you’ve received so far. On average — and unfortunately this is true more often than not — 20 to 30 percent of the people you invite will not show up.

The number of seats you provide also depends on the type of event you’re hosting. For example, your wedding reception may not require a seat for every guest. You may opt for a combination of mingling and seating. At an open house meet-and-greet, more people may be milling around. You need space to accommodate everyone.

The size of the tent, the kind of tables you order and the seating arrangement all depend on the number of people you expect to attend, so get as close to accurate as you can.

2. What type of tables do you prefer?

The type of tables you use helps determine the size of the tent you need. Round tables are appropriate for more elegant events. They take up more space than banquet tables, but they encourage dialogue and give everyone equal site lines from every angle.

Banquet tables seat a large numbers of guests in a smaller space. They are appropriate for big gatherings where guests will move around to mingle and dance.

3. Will you serve food?

If you need extra space for a serving area or a buffet line, you must consider the arrangement of the tables and the general flow of the space, which may mean a larger tent. 4. How about a dance floor under the tent?

The size of the floor plays a significant role in choosing the correct tent size, and how you set up the tables, food service line and guest flow.

5. Will you hire a band or DJ?

DJs need space as well as time to set up. A DJ usually has his own sound equipment, but Hendersonville Tents can provide a PA system for your own announcements if needed. Bands require more space than a DJ, a factor to consider when forming your overall budget.

6. Do you have enough space?

Make an accurate measurement of the space for your event. The space must be large enough to accommodate the tent you’re ordering. For example, if you decide on a 30x45-foot tent, you need at least 40x55 feet of unobstructed property on which to place the tent.
